How many volunteers does a school event actually need?
Most PTO volunteer shortfalls come down to under-planning, not under-recruiting. A rough starting point: one volunteer for every 15–25 attendees, plus at least two people per activity station or booth so no one is stuck alone. Events running longer than three hours typically need shift relief on top of that base number, since asking one person to staff a table for four hours straight is how you lose volunteers for next year.
This calculator combines an attendance-based estimate with a station-based estimate and takes whichever is higher, then adds a shift-relief buffer for longer events. It's a starting point for your sign-up sheet, not a guarantee — a chaotic layout or an event with more moving parts than usual may need more hands than the number above.
